This privacy statement is applicable to both our website https://www.dignify.agency and all interactions between us and our applicants, website visitors, customers, prospects and partners.

What data do we collect?

Dignify collects and processes your personal data because you visit our website, use our services and/or because you provide the data voluntarily.

Below you will find an overview of the personal data that we process:

  • Personal identification data: first name, last name, email address(es), phone number, mobile number, address.

  • Personal and professional data (in case of applicants): education, age, gender, references, CV, etc.
  • Data collected via forms: interests and preferences, (content) download forms, contact us page, surveys etc.

Special and/or sensitive personal data

Our website and services are not intended for children under the age of 16, and we do not knowingly collect data relating to children without parental consent.

In principle, Dignify does not process special categories of personal data as defined in Article 9 GDPR (such as data revealing racial or ethnic origin, political opinions, religious or philosophical beliefs, trade union membership, genetic or biometric data, health data, or data concerning a person’s sex life or sexual orientation). The only exception may occur in the recruitment context, if such information is voluntarily provided by an applicant. In that case, we will treat this data with the highest level of confidentiality and process it only where strictly necessary and in compliance with applicable legal requirements

How long do we store your personal data?

Dignify does not store your personal data any longer than strictly necessary to achieve the purposes for which your data is collected.

We use the following retention periods for the following (categories) of personal data:

  • Applicants: 1 year after the recruitment process ends.
  • Prospects: 5 years after last interaction.
  • Clients: for the duration of the contract and 10 years thereafter.

After these periods, data is securely deleted.

Applicants and prospects can request early deletion at privacy@dignify.be.

Sharing of personal data with third parties

Dignify only shares personal data with third parties when necessary for contract execution or to comply with legal obligations.
We may share data with trusted third parties, such as:

  • IT service providers
  • Accounting and administrative partners
  • Marketing and communication partners

International transfers of personal data

Dignify strives to process your personal data within the European Economic Area (EEA). However, some of our service providers (for example, certain IT or cloud service providers) may process personal data outside the EEA.

When such transfers take place, we ensure that they are carried out in compliance with the GDPR. This means that:

Dignify takes the protection of your data seriously and implements appropriate technical and organizational measures to prevent misuse, loss, unauthorized access, unwanted disclosure and unauthorized modification. These measures include among others encryption, role-based access control, secured servers and firewalls, regular monitoring and staff training This list is not exhaustive. We regularly review and update our security measures to ensure an appropriate level of protection in light of technological developments, industry standards, and evolving risks
